Sensa Spa Platform

Platform

Every function, and what each one is actually for.

5 modules, 63 functions. Each is listed below with the outcome it produces for the business and what a person experiences because of it — because an owner does not buy a “guest recognition panel”. He buys a guest who is never asked what she likes again.

Operations

The three people who touch the visit

Call centre

Every agent takes the booking your best agent would.

The agent on the phone

Appointments

Function What it changes for the business What it feels like
The day and week ahead, filterable The book is answerable without opening the floor plan. The agent answers “is Thursday free” in two seconds, not two minutes.
Confirm, cancel, no-show from the row The state of a booking is changed where it is read. Nobody navigates away mid-call.
Reschedule with live availability A move keeps the room, therapist and turnover rules intact. The guest is offered a real alternative, not “let me call you back”.
Repeat series A weekly regular is booked once, for a season. She stops having to ring every week to keep her slot.

Guided booking console

Function What it changes for the business What it feels like
Identify — find or create the guest Consent and language captured once, at first contact. She is never asked her mobile number twice.
Prefer — therapist, gender, pressure, daypart Preferences recorded against the guest, not the booking. Her next call starts where the last one ended.
Recommend — scored, bookable slots Offers account for room preparation and turnover, so the commit does not refuse them. The time read out is the time she gets.
Confirm — book, deposit, message One step closes the sale and tells the guest. Confirmation arrives before she has put the phone down.

Tomorrow’s confirmation round

Function What it changes for the business What it feels like
A worklist of bookings still needing a call Confirmation stops depending on who remembered. The desk starts the day knowing which chairs are real.
Outcome recorded per booking Reached, cancelled or unreachable becomes measurable. An unreachable guest’s slot is sold instead of held on hope.

Tasks, callbacks and leads

Function What it changes for the business What it feels like
Callbacks with a time and an owner “I’ll ring you back” becomes a tracked commitment. The guest gets the call she was promised.
Leads that did not book The enquiry survives the call that failed to close. She is called back with the treatment she asked about, not a generic offer.
Outbound campaign lists Campaign calls are worked from the guest record and written back to it. Nobody is called twice about the same offer.
Surveys after the visit Satisfaction is attached to a therapist and a treatment. A complaint reaches someone before it reaches a review site.

Reception

The desk knows who just walked in — and what she is owed.

The desk

Arrivals board

Function What it changes for the business What it feels like
The day split into expected, arrived, checked out Three different jobs stop looking like one list. The guest who finished an hour ago and has not paid is the row that stands out.
One-tap check-in on a tablet-sized tile Arrival is timestamped without a keyboard. She is greeted, not processed.
Automatic no-show after a grace period The absence rate becomes honest and the slot is released while sellable. Nobody is marked absent while standing at the counter.
Waiting time, live How long a guest sits before anyone touches her is a number. Somebody notices before she does.

Guest recognition

Function What it changes for the business What it feels like
Full name, language, Civil ID and mobile Identity is confirmed without an interrogation. She is addressed correctly, in her own language.
Her therapist, and whether she is on today The request is answered before it is made. “Mariam is in today” — the sentence that keeps a guest.
Birthday inside the celebration window The occasion is caught before she arrives, not after she leaves. She is wished a happy birthday by someone who is not reading a screen.
Clinical separated from personal Sensitive data is visible only to roles entitled to it. She is treated safely without her medical history being desk gossip.

Checkout and billing

Function What it changes for the business What it feels like
The bill proposed from what was delivered Booked-but-not-received is never charged. She is not billed for the facial she declined.
What was not charged, shown with its reason A missing line is explained rather than silently dropped. She can see why the total is what it is.
One invoice per therapist Revenue is attributed at the point of sale. Each therapist can be paid on what she actually earned.
One receipt across several invoices A group settles in a single payment, allocated correctly. She taps her card once.
Eight kinds of discount, each with a reason The cost of generosity is a number by quarter end. The manager who approved it is on the record, not in somebody’s memory.
Advances drawn down, refused when short Money held on account is actually spent. Her deposit reduces her bill instead of being forgotten.
Cash, card, KNET, Apple Pay, wallet, cheque, on account Every tender lands in the right ledger account. The corporate payer is invoiced; the walk-in taps and leaves.

Walk-ins, the floor and the day

Function What it changes for the business What it feels like
Walk-in booking against live availability An unbooked guest is sold a real slot, not squeezed in. She is offered a time instead of being turned away.
The floor, room by room Who is where, right now, without walking the corridor. The desk answers “is she still in?” without leaving it.
From the room — the therapist’s recommendation A product or upgrade suggested in the room reaches the till. She is offered the oil she just asked about, not a script.
Package and membership redemption An entitlement is consumed against the bill automatically. Her package covers it without her having to argue for it.
End-of-day report Takings, tenders and outstanding reconciled before the desk closes. The cashier goes home when the day is done, not when the arithmetic is.

Therapist

She knows the guest before the guest lies down.

The person delivering the treatment

Her day

Function What it changes for the business What it feels like
Today’s list, hers alone No filtering a floor plan to find her own work. She sees her day, not the spa’s.
Start and finish, two taps Treatment duration and room utilisation become measurable. No clipboard, no end-of-shift paperwork.
Completion proposes the bill The desk charges for what was delivered. She is not chased to confirm what she did.

The guest brief

Function What it changes for the business What it feels like
Contraindications and allergies first Safety information is read before the treatment, not filed after it. She never has to ask “is there anything I should know?”
Pressure and preference per body region A preference is structured rather than buried in free text. The guest’s shoulders get firm and her lower back is left alone — without asking.
What was noted last time Continuity across visits and across therapists. A different therapist still knows her.

Consultation and add-ons

Function What it changes for the business What it feels like
Structured consultation records with consent Clinical intake is defensible and reportable. She signs once, not on every visit.
In-room upgrade prompts Add-on revenue is offered at the only moment it converts. She is offered the scalp massage while lying down, not upsold at the till.
Product recommendation to the desk Retail attaches to the therapist who recommended it. The desk knows what she suggested before the guest arrives at it.

Business

What the visit is worth, and what it cost

Inventory

What is on the shelf and what it cost, in the same ledger as the sale.

The stock keeper

Stock

Function What it changes for the business What it feels like
Retail and back-bar held apart Product consumed in treatment is a cost, not lost revenue. Nobody wonders why the oil keeps disappearing.
Purchase orders and goods receipt What was ordered, received and invoiced are three checkable facts. A short delivery is caught at the door.
Movements register Every unit in or out has a reason and an owner. Shrinkage has a name and a date.
Reorder worklist Stock-outs are predicted rather than discovered. The bestseller is never out on a Saturday.
Stock counts Counted against expected, with the variance posted. The count is a reconciliation, not a guess.
Costing and valuation Stock value flows into the balance sheet automatically. The accountant stops asking for a stock figure.

Accounting

The books are not a report you run. They are the system.

The owner and the accountant

The general ledger

Function What it changes for the business What it feels like
Chart of accounts, three fixed levels One structure across every property in the group. A revenue line means the same thing in every building.
A balanced journal per invoice and per receipt Nothing is exported, imported or re-keyed. The bookkeeper stops typing what the till already knows.
Revenue credited to the therapist who earned it Profitability by therapist comes out of the ledger. Commission is defensible: she can be shown the invoices.
Journal vouchers with the same rules Hand-keyed entries balance before they post. An adjustment cannot quietly unbalance the books.
Cancellation reverses, never deletes The audit trail survives the correction. A mistake is visible as a mistake, which is what makes it forgivable.

Statements and control

Function What it changes for the business What it feels like
Trial balance and profit and loss, any depth, any range The month closes without a spreadsheet. The owner reads the P&L on the 1st, not the 15th.
Period lock A closed month refuses dated writes. Last quarter stops changing under the report you already sent.
Budgets with a block that stops a posting Overspend is prevented, not reported afterwards. The manager is stopped at the point of decision.
Opening balances posted as a journal Existing books arrive without restating history. Day one starts from the real position.

Receivables, payables, bank and cash

Function What it changes for the business What it feels like
What corporate payers owe, aged Collection is worked from a list, not a memory. The hotel’s account is chased before it is a problem.
Supplier invoices and what is owed Payables sit in the same ledger as everything else. Nobody reconciles two systems to answer one question.
Bank books, transfers, cheque series Cash movement is recorded where the revenue is. The float agrees at close because it was never separate.
Merchant charges posted automatically What the acquirer keeps is a cost, not a mystery difference. Card takings reconcile to the bank without an argument.
Reconciliation against a statement Differences are found by the system, not by eye. The month is closed in an afternoon.

The thing a list cannot show

All of it writes to one guest and one ledger.

63 functions listed out looks like 63 features. It is not. The preference captured on the phone is on the therapist’s brief. What she noticed in the room is at the desk when the guest pays. What the desk charged is in the ledger before the guest reaches the car park, credited to the therapist who earned it.

That is the part a spa cannot assemble by buying four good products.
